General overview of the role

The Executive Assistant plays a crucial role in supporting the executive by handling a variety of administrative tasks that are essential for maintaining a smooth and efficient office environment. Typical duties and responsibilities

  1. Manage and coordinate the executive’s schedule, including meetings, appointments, and travel arrangements.
  2. Prepare and edit correspondence, reports, and presentations.
  3. Handle confidential information with discretion and maintain the confidentiality of sensitive materials.
  4. Coordinate communication between the executive and internal/external stakeholders.
  5. Organize and manage files, records, and documents.
  6. Assist with special projects and events as needed.
  7. Conduct research and compile data for reports and presentations.
  8. Monitor and respond to emails on behalf of the executive.
  9. Prepare agendas, take minutes, and follow up on meeting action items.
  10. Provide general administrative support, including answering phones, greeting visitors, and managing office supplies.

Required skills and experience

  • Minimum 2 years of proven experience as an Executive Assistant or in a similar administrative role.
  • Bachelor’s degree in Business Administration, Management, or a related field is required.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
  • Experience with calendar management and scheduling.
  • Ability to work independently and as part of a team.
  • Strong attention to detail and problem-solving skills.
